Invoices
Under Billing → Invoices you invoice your customers, record payments and keep track of what is still open. Owners, administrators and accounting manage invoices; lab managers can view them.
How invoices are created
edonto creates invoices from delivered cases, using the prices stored on each case. When a case is invoiced depends on the customer's billing cycle (set on the customer or its group):
| Billing cycle | Invoice |
|---|---|
| Per case, on delivery | as soon as you mark the case as delivered |
| Weekly | one invoice for all cases delivered Monday–Sunday, created on Monday morning |
| Every two weeks | for the 1st–15th and the 16th–end of the month |
| Monthly | one invoice per calendar month, created on the 1st |
Under billing settings you choose whether these invoices are issued right away or created as drafts for you to review (default).
You can also invoice at any time: the box Ready to invoice lists all delivered cases without invoice per customer – select Create invoice.
Drafts
A draft has one line per case item and per component, with the case number, patient and teeth below the description. Before issuing you can:
- change description, quantity and unit price directly in the line,
- add lines, e.g. a discount (negative price) or shipping,
- remove a line or take a case off the invoice (it can be invoiced later),
- add notes on the invoice,
- delete the draft (⋯) – its cases become available again.
Lines without price are highlighted; they must be completed before issuing.
Issue an invoice
Select Issue invoice. The invoice gets its number (e.g. INV-2026-00001, counted per year without gaps), its due date (date + the customer's payment terms) and a copy of your organization data and the customer's data. The final price of each case is set from the invoice.
If the customer is on edonto, the practice gets a notification and an email with the PDF. For customers not on edonto, download the PDF and send it yourself.
Issued invoices can't be changed or deleted anymore.
Payments
Select Record payment on an unpaid invoice, enter amount (the open balance is suggested), date, method (bank transfer, Pix, boleto, card, cash …) and an optional reference. Partial payments are possible; when the full amount is paid, the invoice is marked Paid. A payment recorded by mistake can be removed with ×.
The list shows Drafts, Unpaid, Overdue (unpaid after the due date) and Paid invoices.
Cancel an invoice
To correct an issued invoice, open ⋯ → Cancel with credit note and enter a reason. edonto issues a credit note over the full amount (own number, e.g. CN-2026-00001), marks the invoice as Cancelled and makes its cases available for a new invoice. Remove recorded payments first.
Export
Export CSV downloads all issued invoices and credit notes (number, type, status, dates, customer, tax ID, amounts, paid, balance) for your accountant. The file uses semicolons and opens directly in spreadsheet apps.
Billing settings
Billing → Billing settings:
- Issue automatic invoices right away – off: drafts for review; on: issued and sent immediately (drafts with missing prices still wait for you).
- Invoice prefix and credit note prefix – the next number is shown below.
- Tax rate (%) and tax name (e.g. ISS) – leave empty if your invoices carry no tax.
- Payment details (Pix key, bank account, payment link) and a default note printed on every invoice.
Your organization profile (legal name, tax ID, address) appears as the sender – complete it under Organization → Settings.
Fiscal documents
edonto invoices are commercial documents. Official tax documents such as the Brazilian NFS-e will be connected through an integration later.
